Creating time off policies

Create paid and unpaid time off policies for your team with custom accrual settings

Our Time Off feature, which comes as part of our employee vacation tracker, will allow you to create time off policies for your team so you can effectively track team members’ time off for accurate payroll calculation.

Creating time off policies 

This section applies to owners and admins.

Time off policies can be created based on your company’s leave rules. When creating time off policies for your team, you will be able to choose between paid and unpaid time off:

Paid

Time off is calculated towards payroll hours on timesheets and reports.

Unpaid

Time off is not calculated towards payroll hours and is not billable.

For paid time off, you may set up an accrual policy. Accrual policies allow employees to earn time off at a specified rate and are used to calculate, accrue, and track the amount of paid time off an employee has. 

You will also be able to assign time off policies to specific groups and/or members, unassigned time off policies are applicable to all users in your organization by default. 

Important ❗: Accrual settings and member assignments are only applicable on the Premium and Ultimate plan.


Unpaid time off

  1. Go to Time Off & Holidays on the left navigation menu.
  2. Click on the Time Off Policies tab.Time off policy settings on web

  4. Add a name for your time off policy and select the groups and/or members you wish to assign to this policy.
  5. Select Unpaid under the compensation field.Adding unpaid time off policies on web
  6. Click Save.
  7. Your Time Off Policy will be added to the Time Off Policy list.

  1. Go to Time Off & Holidays on the left navigation menu.
  2. Click on the Time Off Policies tab.
  3. Click on the Add Time Off Policy button on the right top corner.Adding time off policies on web
  4. Add a name for your time off policy and select the groups and/or members you wish to assign to this policy.
  5. Select Paid under the compensation field.Adding paid time off policies on web
  6. Under Accrual Settings, you will see two options under the Schedule of Accrual field:
    • None – Time off is earned immediately without proration.
    • Annual – Time off is earned yearly based on a set date and will be prorated.

Selecting a schedule of accrual of none for paid time off policies

Note: Existing paid time off policies that were created before the release of web version 2.35 will be automatically moved to an Accrual Setting of None. You may edit the time off policies and include an entitlement amount if required.


If None is selected:

Leave accruals will run from the 1st of January to the 31st of December and refreshed on the 1st of January the following year. Time off entitlements will be earned immediately as a lump sum. 

  1. Input the total days or hours that employees are entitled to per year.Entering an entitled amount for paid time off policies
    Note: Time off can only be requested based on the unit (days or hours) selected during the creation of the time off policy. 
  2. If you do not want public holidays to be included as a day of leave, select the checkbox for Exclude public holidays.
  3. If you do not want rest days to be included as a day of leave, select the checkbox for Exclude non-working days.Checkboxes to exclude public holidays and rest days for paid time off policiesNote: Public holidays are based on the members’ assigned calendar whereas non-working days are based on the rest days configured under the members’ assigned work schedule.
  4. Under Balance rules, you can select the checkbox for Leave balances can be carried forward to the next cycle if you wish to allow leave balances to be carried over to the next year.
  5. Input the total number of days or hours allowed to be carried forward together with the expiry time (1-12 months).Enabling leave balance rules to carry forward leave to the next cycleNote: If after 1 month is selected as the expiry date, all allowed carried forward leave will be exterminated one month after the 1st of January the following year, i.e. on the 1st of February.
  6. Click Save.
  7. Your Time Off Policy will be added to the Time Off Policy list.

If Annual is selected:

You will be able to determine the timeframe by which accrued time is earned under the Accrual Date field:

  1. Custom – Leave accruals will be earned from the set custom date and will run in a yearly cycle. 
    • For example, if the custom date is set to 1st of February 2023, the leave cycle will run from 1st of February 2023 to 31st January 2024. Come 1st of February 2024, leave entitlements will be refreshed.
  2. Joined Date – Leave accruals will be earned from the date a member joined your Jibble organization and will run in a yearly cycle.
    • For example, if a member joins the organization on the 1st of May 2023, the leave cycle will run from 1st of May 2023 to 30th of April 2024. Come 1st of May 2024, leave entitlements will be refreshed.

Note: You can find and edit the Join Date field under the profiles of your team members. The Join Date field will be auto-populated for members without a Join Date according to the date the member was added to the organization, upon the release of web version 2.35.

Selecting an annual schedule of accrual with custom date for paid time off policies

Leave accruals will run in a cycle, from the set Accrual Date for the year and refreshed on the Accrual Date the following year. Time off entitlements will be earned starting from the set date and will be prorated following the calculation of (Entitled amount / 12 months) x Number of remaining months in a cycle.

Example:

Alan creates an annual time off policy (Policy A) with 12 days entitlement per year, set to start on the 1st of January 2023. Alan then assigns Ben to Policy A on the 1st of April 2023. Since Ben was assigned after the 1st of January, his total leave entitlements will be prorated following the formula (Entitled amount / 12 months) x Number of remaining months in a cycle.

(12 days / 12 months) x 9 months = 9 days

Custom Accrual Date:
  1. Input the total days or hours that employees are entitled to per year and select the Custom accrual date.Entering an entitled amount for paid time off policies with custom date
  2. If you do not want public holidays to be included as a day of leave, select the checkbox for Exclude public holidays.

  4. Under Balance rules, you can select the checkbox for Leave balances can be carried forward to the next cycle if you wish to allow leave balances to be carried over to the next year.

  6. Click Save.
  7. Your Time Off Policy will be added to the Time Off Policy list.
Joined Date:
  1. Input the total days or hours that employees are entitled to per year.Entering an entitled amount for time off policies based on joined date
  2. If your members are required to go through a waiting period before earning leave entitlements, input the number of waiting days.Entering a waiting period for time off policies based on joined dateNote: Waiting period is only applicable on the first year of service. Leave entitlements will continue to refresh on the Joined Date of the following year(s).
  3. If you do not want public holidays to be included as a day of leave, select the checkbox for Exclude public holidays.

  8. Your Time Off Policy will be added to the Time Off Policy list.

Time off calculations

Payroll hours will be added to timesheets and reports for all time off added with paid compensations. Calculations for payroll hours are based on the work schedule assigned to a team member:

  • Fixed daily schedule: 

Added time off that is included in the specified working hours (eg. 9am – 5pm = 8 hours) will be calculated towards payroll hours. Any time off that is added outside of the specified work time (eg. Vacation leave from 5pm – 11pm) will not be calculated towards payroll hours.

  • Flexible daily schedule: 

Added time off that is included in the specified working hours (eg. 8 hours daily) will be added towards payroll hours until the maximum allocated daily hours is reached.

  • Flexible weekly schedule: 

Added time off is calculated based on the number of daily working hours specified for the week (eg. 40 hours weekly from Monday to Friday = 8 hours daily). If working days have not been specified, a total of 7 days a week is assumed where the calculation follows total weekly hours / 7 days. Time off hours will be added towards payroll hours until the maximum allocated daily hours is reached.

Note: Unpaid breaks and auto-deductions are not calculated towards time off payroll hours.
